Invitation Letter for Visa Purposes

If you are planning to attend the Nursing and Healthcare Conference: A Global Dialogue, taking place from November 28-30, 2025, in Toronto, Canada, you may need a visa to enter Canada. Depending on your country of origin, an invitation letter from the conference organizers may be required to support your visa application.

What is an Invitation Letter?

An invitation letter confirms your registration and participation in the conference. It outlines the purpose and duration of your visit, along with details about your accommodation and financial arrangements.

Steps to Request an Invitation Letter

To request your invitation letter, please follow these steps:

  1. Submit Your Abstract: If applicable, submit your abstract or paper for presentation at the conference.
  2. Register for the Conference: Complete your registration and pay the registration fee.

After completing these steps, email us at info@richmondhillcollege.ca with the following information:

  • Full name (as it appears on your passport)
  • Date of birth
  • Passport number and expiry date
  • Country of citizenship and residence
  • Affiliation and position
  • Email address and phone number
  • Presentation title and session (if applicable)

 

Important Information

Please note that the invitation letter does not guarantee visa approval. You are responsible for applying for a visa at the nearest Canadian embassy or consulate and providing all required documents and fees. The letter serves only as a supporting document and does not imply any financial or legal obligations from the conference organizers.

Timeline for Requesting an Invitation Letter

We recommend requesting your invitation letter as soon as possible—ideally at least three months before the conference date—to allow ample time for visa processing. Additionally, check the visa requirements and procedures for your country on the official Immigration, Refugees and Citizenship Canada website.

Conference Participation – FAQ (Visa, Invitation Letters, Registration)

1. How can I receive an official invitation letter?

Invitation letters are issued only after completing the registration process (and, if applicable, after abstract submission and acceptance for presenters). Once registered, you will receive a personalized invitation letter that you may use for your visa application.

2. Does the invitation letter guarantee a Canadian visa?

No. The invitation letter is meant to support your visa application, but the final decision rests entirely with the Canadian Embassy/Consulate. The conference organizing committee has no influence over visa approvals.

3. What documents are usually needed for a Canadian visa application?

Typically:

  • Conference invitation letter

  • Abstract acceptance letter (if presenting)

  • Registration payment confirmation/receipt

  • Travel, accommodation, and financial support documents (bank statement, sponsorship, etc.)

  • Other documents as required by the Canadian Embassy

4. What are the registration categories?

 

  • Non-presenting Attendee: Participate in sessions and networking without presenting.

  • Poster Presenter: Share your research/work in poster format.

  • Oral Presenter: Deliver a talk if abstract is accepted.

5. Can I upgrade from Non-presenting Attendee to Presenter?

Yes. If you submit an abstract and it is accepted by the Scientific Committee, your status can be changed to Poster or Oral Presenter (depending on acceptance). The registration rate remains the same for Poster presentations.

6. Do you provide any special event code from the Canadian Embassy?

No. The conference does not receive or issue embassy codes. The only official documents we provide are the invitation letter, acceptance letter (if applicable), and payment receipt.

7. What if my visa is denied?

Visa issuance is the sole responsibility of the Canadian Embassy/Consulate. The conference organizers have no influence on visa decisions and cannot accept responsibility for visa refusals. In case of visa denial, participants may contact the conference secretariat regarding the registration refund policy (as outlined on the conference website).
